
Office Assistant
Requirements:
• English – middle level;
• 1 years work experience within a client-facing environment, e.g. reception/ secretary;
• Good customer service skills;
• Communication skills;
• Computer skills (ability to use email, word, internet);
• Proven organization skills ability to prioritize and multi-task.
Responsibilities:
• Oversee daily front desk operations work;
• Attend to visitors;
• Answer all incoming calls and handle callers’ inquires whenever possible;
• Re-direct calls as appropriate and take adequate messages when required;
• Receive incoming correspondence and distribute to the right departments;
• Booking of meeting rooms and setting up of meeting rooms when required;
• Drafting letters for the management and processing company documents;
• Keeping close contact with the company costumers, managing the correspondence with the costumers and business partners;
• Coordinate external services regarding office space maintenance, repairing or renovation
• Maintains equipment by completing preventive maintenance, troubleshooting failures, calling for repairs, monitoring equipment operation;
• Manage relation with service providers – travel agency, cleaning services etc.
• Ensure the documents archive.
