Project Executive, Major Events

London & Partners is the Mayor of London’s official promotional agency. We promote London and attract businesses, events, congresses, students and visitors to the capital. Our aims are to build London’s international reputation and to attract investment and visitor spend, which create jobs and growth. 

It is our privilege to promote London around the world, working in partnership with the Greater London Authority (GLA), Department of Trade & Investment (DIT), VisitBritain and other destination marketing organisations, the London boroughs and many other key stakeholders, as well as our 1,000-plus private sector partners. 

Our target audiences are leisure and business tourists, the travel trade, event organisers, overseas businesses and investors, and prospective higher education students. Our marketing and promotional activities are designed to encourage visits, investments and spend in London now, as well as building London’s reputation to support its long-term success. Our mission is to tell London's story brilliantly.

We are a not-for-profit public private partnership, funded by the Mayor of London and our network of commercial partners.

Key tasks

• Support London & Partners’ major events consumer marketing activities: 
• Co-ordinate marketing support for Major Events 
• Source, write and upload timely and accurate major events content for visitlondon.com 
• Lead the team’s social media activity – researching and writing content and monitoring social media activity 
Co-ordinate communications with city-wide Major Event stakeholders such as the Greater London Authority, London Boroughs, Transport for London, Metropolitan Police, and Royal Parks: 
• Co-ordinate cross-agency relationships via general and specific project group meetings and ensure appropriate follow up action is taken 
• Regularly update and share the London Event Co-ordination Calendar amongst city stakeholders 
• Ensure that all events and information are up to date on company websites and in relevant publications 
Manage key projects drawn out of Major Events team activity, for example: 
• Assist delivery of Business Hosting programmes at events 
• Support the delivery of bids and bid evaluation visits 
• Co-ordinate the delivery of specific support related to major events 
Co-ordinate internal Major Events team activity including: 
• Support bi-weekly team meetings and ensure follow up action is taken as appropriate 
• Co-ordinate team accounting and quarterly performance reporting 
• Act as a champion for the team’s use of the company Customer Relationship Management system 
• Undertake initial research work to support event enquiries, liaising with wider team members as appropriate 
• Other general administrative duties to maintain the smooth running of the department 
Any other reasonable duties as allocated by the line manager 

You’ll Have

  • Committed to continuous learning and evolving with industry best practice
  • Previous experience in an organisational / team support role
  • Demonstrable administrative and organisational skills, including budget management, diary management and presentation development
  • Strong research abilities
  • Project management experience
  • Marketing / communications experience desirable
  • Excellent communication skills – verbal & written
