The opportunity
Working within the UK Sales and Marketing organisation the Proposal Management team currently consists of 3 full time Proposal Managers, 1 full time Content Manager and 1 offshore Proposal/Content Support consultant. This is a busy team, supporting key bids to bring together compelling, customer focused proposals and deliverables to win new business and promote sales growth across all sectors. This is achieved by working closely with Bid Managers and internal/external stakeholders to manage the proposal from inception to completion, acting as an ambassador for best practice and assisting with overall project management including information research, planning, design, digitalisation, review processes, portal management and production.
The prefered primary location is London/ Winnerh; however, Proposal Managers may occasionally be required to travel throughout the UK.
Your day-to-day responsibilities include:
Proposal Planning
- Digesting client information to identify the requirement, i.e. scope, timelines, scoring, evaluation criteria, proposal instructions etc. and attending various internal workshops/meetings to gain an understanding of internal messaging and strategies
- Facilitating storyboard sessions, working with the bid team to define a proposal response outline structure and identifying methods for integrating the sales strategy into the proposal
- Collaborating with the Bid Manager to plan & resource proposal content, identifying content gaps and proactively seeking standard information where applicable
- Working with bid leads to define proposal design including creation of templates, iconography and call outs, liaising with Marketing and Creative teams where appropriate
- Collaborating with the Bid Manager to plan and coordinate the review schedule, communicating roles, responsibilities and expectations of reviewers.
Proposal Delivery Management
- Leading day-to-day proposal management activities, in accordance with the bid plan, adhering to quality standards, milestones and deliverables
- Supporting Proposal Authors to identify & source quality and relevant bid collateral for client submissions, including reference material, credentials and case studies
- Managing and coordinating contributions from external content providers, both on and offshore, in line with agreed milestones, addressing with the Bid Manager poor quality contributions to the bid from individuals and third parties.
- Managing all proposal documents and the flow of information to and from proposal participants, including the proposal SharePoint/OneDrive site
- Managing creative deliverables for the proposal response, including identification of reusable diagrams, creating / tailoring graphical material from standard data and coordinating input and support from Creative Partners if applicable
- Handling all aspects of production including editing, proof reading, printing, packaging and submission, ensuring that proposal documents are on brand, formatted and quality checked for messaging, compliance and consistency
Content Management
- Managing various SharePoint sites, client portals and other in-house libraries as required
- Supporting the Content Manager in creating & maintaining a central document repository of proposal responses for further content harvesting and reuse
- Identifying & reducing content gaps, proactively liaising with the Content Management team to seek new content, gain SME approval and ensure publication
- Providing the Content Manager with new bid information where relevant, i.e. case studies, highly scored content etc.
Quality Management
- Developing and communicating author / reviewer guidance, including writing style guides, templates and best practice methodology
- Establishing and implementing appropriate version control of proposal content and ensure agreed review actions are implemented.
- Acting as an independent reviewer conducting first level review of content ensuring the response is client centric, compliant, consistent & that agreed win themes and value proposition are reflected
Skills we can’t do without:
- Experience of working in a similar role i.e. Proposal Manager, Senior Bid Coordinator, Proposal Writer etc. with a good understanding of the end-to-end sales process
- High standards of written and verbal communication in English
- Advanced MS Word skills
- Proficiency in Adobe InDesign, PowerPoint and Excel
- Experience of working in a deadline driven environment
- High level of enthusiasm, motivation and resilience
- Strong time management / prioritisation skills
- Ability to build rapport and win cooperation at all levels
- Demonstrated attention to detail for written content & document aesthetics
- Flexibility to work out of hours around bid submission deadlines
- A collaborative and entrepreneurial attitude
Skills we’d like:
- Degree educated
- Structured writing skills
- Certified to APMP Foundation Level or Shipley trained
